So many choices, so little time \u2014 and you still need to do your job.&nbsp;<\/p>\n\n\n\n<p>If you don\u2019t have the time to be a full-time vendor procurement specialist (and what HR leader does?), I\u2019m here to offer a few tips and decision-making frameworks to help you get to the root of what you need.<\/p>\n\n\n\n<p>Because building a modern HR tech stack isn\u2019t about just checking compliance boxes or copying what the latest unicorn company does. It\u2019s about solving real problems for <em>your<\/em> people, at <em>your<\/em> stage, with <em>your<\/em> resources.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-start-with-the-problem-not-the-solution\"><strong>Start with the problem, not the solution<\/strong><\/h2>\n\n\n\n<p>Before you think about features, integrations, or price, get painfully clear on what you\u2019re trying to solve. Is your team buried in manual admin work? Are candidates ghosting you? Are you struggling to deliver timely insights to leaders?&nbsp;<\/p>\n\n\n\n<p>If you can\u2019t articulate the problem in a single sentence, you\u2019re not ready to buy anything. Don\u2019t forget to make sure you know what the rest of leadership thinks is the problem \u2014 if you don\u2019t have ultimate budgetary discretion, they need to be on board with solving the problem too.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-stay-intentional-focused-and-curious\"><strong>Stay intentional, focused, and curious<\/strong><\/h2>\n\n\n\n<p>It\u2019s easy to get swept up in a sweet demo. I\u2019ve been tempted by products that seemed like the panacea, only to realize after implementation that I had far more (or less) features than I needed. Can the product actually do what they\u2019re selling you?&nbsp;<\/p>\n\n\n\n<p>In addition to reviewing all of the current features, talk to your sales rep about the product roadmap. What\u2019s coming in the next year? Do those developments align with your needs? A tool\u2019s future matters as much as its current state. Ask tough, clarifying questions:<\/p>\n\n\n\n<p><strong>Impact<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What is the problem?<\/li>\n\n\n\n<li>Who is affected by it?<\/li>\n\n\n\n<li>Who cares about it?<\/li>\n<\/ul>\n\n\n\n<p><strong>Technology<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>How is the technology in question a solution to the problem?&nbsp;<\/li>\n\n\n\n<li>Does it solve other problems too?<\/li>\n\n\n\n<li>What more can it do as we grow?<\/li>\n\n\n\n<li>What can\u2019t it do?<\/li>\n<\/ul>\n\n\n\n<p><strong>Implementation<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What will it take for the technology to be successful?<\/li>\n\n\n\n<li>Who will own this tool day to day?<\/li>\n\n\n\n<li>Are we prepared to commit to that?<\/li>\n\n\n\n<li>How will we measure success?<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-size-and-scale-matter\"><strong>Size and scale matter<\/strong><\/h2>\n\n\n\n<p>Your HR tech stack should reflect your company\u2019s size and maturity. A 50-person startup doesn\u2019t need the same infrastructure as a global enterprise. Sometimes, a well-configured Google Sheet outperforms a sprawling HCM that no one has time to maintain.<\/p>\n\n\n\n<p>Remember: Technology can save time and remove operational friction, but it can\u2019t fix unclear priorities or broken communication. If your biggest pain point is inconsistent feedback, buying an expensive performance management product probably won\u2019t help (or at least won\u2019t be the entire solution). That\u2019s a culture problem, not a tech problem.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-making-decisions\"><strong>Making decisions<\/strong><\/h2>\n\n\n\n<p>First, decide whether or not you\u2019re purchasing anything at all: Build vs. Buy. Is the problem\/solution something unique to you, that you can reasonably DIY? Go for it! Make something cool (and then <a href=\"http:\/\/linkedin.com\/in\/kimrohrer\">share it with me<\/a> \u2014 I want to see it!). Is the problem complex, super standard, or time-consuming? Buy. And don\u2019t forget to partner with your vendors \u2014 so much can be customized these days, you don\u2019t always have to go with the straight-out-of-the-box solution.<\/p>\n\n\n\n<p>Then, think about whether you need an MVP or a best-in-class solution. They say that perfect is the enemy of done; sometimes it\u2019s smarter to launch a simpler tool you can improve later than to wait for perfection. You can always start with an MVP that\u2019s size and stage appropriate, and iterate when you\u2019ve outgrown it. Caveat: When you\u2019re doing Discovery on new tools, keep in mind which vendors might scale with you and which you\u2019ll need to abandon as you grow.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-renewals-and-the-dreaded-farewell\"><strong>Renewals and the dreaded farewell<\/strong><\/h2>\n\n\n\n<p>Over time, even well-chosen tools can start getting dusty. Business priorities shift, vendors evolve, and what once made sense then doesn\u2019t make sense now. At least once a year, do a tech audit to see how your HR tech stack, well, stacks up.&nbsp;<\/p>\n\n\n\n<p>Gather feedback from your team, leadership, and employees. Don\u2019t forget to reference platform utilization data and engagement survey findings \u2014 this isn\u2019t something you have to do alone.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What are we paying for?<\/li>\n\n\n\n<li>What are we actually using?<\/li>\n\n\n\n<li>What\u2019s delivering measurable value?<\/li>\n<\/ul>\n\n\n\n<p>There\u2019s often pressure to stick with tools because they were expensive, endorsed by a past exec, or frankly, because it\u2019s easier to do nothing. If a tool is still working great, awesome! Everyone loves an easy renewal!<\/p>\n\n\n\n<p>But I also hereby give you permission to release what no longer serves you.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-final-thoughts\"><strong>Final thoughts<\/strong><\/h2>\n\n\n\n<p>Your HR tech stack should be lean, strategic, and human-centered.
